This Privacy Policy explains how LizWiz, Inc. (“LizWiz,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our websites and services (collectively, the “Service”), including the LizWiz – AI Assistant for Tenants.

1. Scope

This Privacy Policy applies to information we process when you create an account, upload documents, use chat features, request support, purchase a subscription (if available), or otherwise interact with the Service. It does not apply to third-party websites, products, or services that you may access through links from the Service.

2. Information We Collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically, and (c) information from third parties.

  • Account information: such as your name, email address, authentication identifiers, and sign-in provider information (for example, Google sign-in via Firebase Authentication).
  • Content you submit: chat messages, prompts, responses, feedback, and related metadata.
  • Documents and files you upload: including leases and related materials (PDFs, images, or other document formats). These may contain personal information and information about your rental situation.
  • Derived/processed content: text extracted from uploaded documents (including OCR), previews, summaries, embeddings/vector representations, and other generated outputs used to provide the Service.
  • Support and communications: information you provide when you contact us, and emails we send to you (for example, account-related messages, invitations, or notices).
  • Payment and billing information (if subscriptions/paid plans are offered): Payments are processed by Stripe (including via Stripe Checkout, a hosted checkout page). Stripe processes payment card details. We may receive limited billing details and payment/subscription metadata from Stripe (for example, subscription status, invoices, and payment method details such as type and last four digits), depending on configuration. We do not store full card numbers.
  • Usage and device data (automatic): IP address, device/browser type, pages viewed, timestamps, and diagnostic, security, and performance logs. We may also derive an approximate location from IP address.
  • Cookies and similar technologies: we use cookies and local storage to store preferences (for example, language/locale) and help operate and secure the Service.

Sensitive Information: Do not upload extremely sensitive personal information such as Social Security numbers, driver’s license/passport numbers, passwords, financial account numbers, or medical information. If you upload or share sensitive information anyway, you do so at your own risk, and we will process it only as necessary to provide the Service and maintain security/compliance (and we may remove or restrict certain content or features to protect the Service).

3. How We Use Information

We use information for the following purposes:

  • Provide and operate the Service: create accounts, authenticate users, store files, and deliver core features.
  • Process documents: extract text/OCR, analyze lease content, and generate summaries and other outputs you request.
  • Provide AI-assisted functionality: process your prompts, messages, and relevant document text to generate responses and outputs.
  • Improve, troubleshoot, and maintain: debug issues, monitor performance, and enhance features and user experience.
  • Security and fraud prevention: protect the Service, users, and our systems, and enforce our Terms of Service.
  • Communications: send service-related messages (for example, account notices, invitations, and updates).
  • Payments (if available): enable subscriptions, invoicing, and fraud prevention, and manage billing support.
  • Compliance and legal obligations: comply with applicable laws, respond to lawful requests, and maintain records needed for security and compliance.

4. AI Processing and Model Providers

The Service may use third-party AI/LLM providers to process text and generate outputs. Depending on configuration and availability, we may transmit portions of your content (such as chat messages and relevant extracted document text) to these providers solely to perform the requested functionality.

  • OpenAI (API-based processing)
  • Google Gemini (API-based processing)
  • Anthropic (API-based processing) (may be used as we expand AI capabilities)

We use these providers as service providers/processors to operate the Service. We configure and use provider API offerings and settings that are designed to help prevent content submitted via the Service from being used to train the provider’s general-purpose models, where such controls are available. Provider policies may change over time.

Minimization: We aim to send only the information reasonably necessary to generate the requested output. However, if your documents or messages contain personal information, that information may be included in what is processed.

5. How We Share Information

No sale of data: We do not sell your personal information. We do not share your personal information with landlords or data brokers for their independent marketing, profiling, or decision-making purposes.

We may share information only in the following circumstances:

  • Service providers and infrastructure: We use vendors to host and operate the Service, including providers for authentication, databases, file storage, and compute infrastructure (for example, Google Firebase and Google Cloud infrastructure). These providers process information on our behalf under contractual or similar restrictions.
  • Email delivery: We use Postmark to send certain emails (for example, account-related or invitation emails). Postmark processes your email address and message metadata to deliver emails.
  • AI/LLM providers: We share content with OpenAI, Google Gemini, and (as applicable) Anthropic as described above solely to provide AI-driven features you use.
  • Payments (if available): If you purchase a subscription or other paid services, payments are processed by Stripe (including via Stripe Checkout). Stripe processes payment information and we receive payment-related metadata needed to provide billing and subscription functionality.
  • Legal and safety: We may disclose information to comply with applicable law, legal process, or governmental requests, or to protect the rights, security, and safety of LizWiz, our users, and others.
  • Business transfers: If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of company assets, information may be disclosed and transferred as part of that transaction.
  • With your direction/consent: We may share information when you request or authorize us to do so.

Service provider changes: Our service providers and subprocessors may change over time as we evolve the Service.

6. No Sale / No Targeted Advertising Sharing

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising (sometimes called “targeted advertising”) in exchange for money or other valuable consideration.

7. Data Retention

We retain information for as long as necessary to provide the Service and for legitimate business purposes such as security, dispute resolution, and compliance.

  • We store uploaded documents and derived outputs (like extracted text) to provide ongoing functionality in your account.
  • We may retain certain logs and security-related records for a limited period to protect the Service and prevent abuse.
  • If you delete content (for example, documents) or request account deletion, we will delete or de-identify information consistent with applicable law and our legitimate business needs. Residual copies may persist for a limited period in backups or logs.

8. Deleting Documents and Account Deletion

You may be able to delete uploaded documents directly in the Service (for example, via the documents management area). If you need assistance, you can also request deletion by contacting us.

You may request deletion of your account and associated content by contacting us at the email address below (and, where available, via in-app account deletion tools). We may need to verify your identity before fulfilling certain requests.

9. Cookies and Similar Technologies

We use cookies and local storage for functionality and preferences (for example, language/locale). You can control cookies through your browser settings and may be able to delete or block cookies. If you disable cookies or local storage, some features of the Service may not function properly.

10. Your Choices and Rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to appeal certain decisions.

We may request additional information to verify your identity. We will respond within the timeframes required by applicable law.

11. U.S. State Privacy Disclosures (e.g., California)

This section provides additional disclosures for certain U.S. state privacy laws (including California). These laws may define “sell” and “share” broadly. As described above, we do not sell personal information and do not share it for targeted advertising.

Categories of personal information we may collect:

  • Identifiers (e.g., name, email address)
  • Internet or other electronic network activity (e.g., usage data, log data)
  • Commercial information (if subscriptions/paid plans are offered)
  • Content of communications and files you provide (e.g., chat content, uploaded documents)

Purposes for collection: providing the Service, operating and securing the Service, improving the Service, payments (if applicable), and compliance as described above.

Categories of recipients: service providers (cloud/infrastructure, email, AI providers, payments if applicable), and disclosures for legal and business transfer reasons as described above.

Non-discrimination: We will not discriminate against you for exercising privacy rights. However, certain features may require certain information to function (for example, account login and document processing).

12. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. This includes the use of encryption in transit (HTTPS/TLS), access controls, and security monitoring. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

13. International Users

LizWiz is based in the United States, and information may be processed and stored in the United States and other jurisdictions where our service providers operate. Data protection laws may differ from those in your jurisdiction.

14. Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us so we can take appropriate steps.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last Updated” date above. If changes are material, we may provide additional notice as required by law.
